Answers to frequently asked questions about moving from the dormitories

Since Saturday, we have received a lot of questions regarding the check-out from the dormitories due to the coronavirus crisis measures. Here are the answers to the most frequently asked ones. Details of the current situation and processes at the dormitories can be found at skm.muni.cz. The questions and answers are below.

1. What exactly does “violation of conditions” mean? Do I understand it correctly that if I came to the dormitories before 18 May and was technically checked-out, this would be considered as “violation of conditions”?

This is not violation of conditions. You will be transferred to the standard accommodation format and from the moment you arrive, you pay the full dormitory fee. The discount is applicable for the period of your absence. Violation of conditions is entering a room without prior check-in at the reception and without the technical cancellation of the previous check-out.

2. Is it possible to cancel the technical check-out before 18 May (or 30 June) without violating the conditions? We do not know when we are supposed to be present at the lessons.

Yes, it is. You will be transferred to the standard accommodation format and from the moment you arrive, you pay the full dormitory fee. The discount is applicable for the period of your absence.

3. If the situation was extended, as mentioned, until 30 June, will the extension be done automatically? For example, if this situation was extended, but I would not want to be technically checked-out from 18 May and I would like to stay at the dormitory. Will that be possible (will it not be violation of conditions)?

Yes, it will be extended automatically, but you can cancel your technical check-out. This is not violation of conditions. Further accommodation is ruled by the Agreement, the technical check-out cannot be renewed.

5. Can I pick up some things from my room during the technical check-out? For example, textbooks?

This is not possible. It will be considered violation of conditions for granting the discount or termination of the technical check-out.

6. If I do not stay at the dormitories for the entire month of April due to the current situation, but then, I return in May: Does the 70% discount for April also apply to me? Or does the discount only apply to those who will no longer stay at the dormitory in May/June?

The discount will be valid for the period of when you are not here. If you cancel the technical check-out, you must check-in at the reception and continue to pay the regular accommodation fee from the day of the check-in. Failure to do so will be considered violation of conditions for granting the discount and you will lose the discount for the entire period.

7. Is it technically possible to check-out from the dormitory even if my roommate is physically staying in the room?

Yes, you can check-out technically. Practical issues with security of the room will be dealt with individually.

8. I want to check-out but I cannot move out before 11 April. Can I do it later?

The condition for termination without sanction is a full handing over of a vacant room by 11 April 2020,  12:00 pm (noon). If you have not moved out by then, the standard terms of the Agreement, i.e. notice with a month's notice, apply. Please, use the option D - Technical Check-out in this case.

9. Am I entitled to a dormitory discount during the period of notice?

Yes, only if you request a technical check-out by 11 April 2020. Otherwise, you pay the accommodation fee in full.

10. If I am registered at the dormitories and want to check out, but at the same time, I would like to book the same room for next year: Will this possibility exist even after I check out by 11 April?

Yes, it will. For the purposes of booking for the academic year 2020/21, students checked-out on 1 March 2020 and later are considered as students currently staying at the dormitories (i.e. the first week, the booking applies to their bed, the next week to any bed). The problem might arise if someone else checked in for your bed, which is highly unlikely as new arrivals are minimal. Then, the conditions would be the same for both of you and the rule “first come, first served” would be applied.

11. Can I keep my bed in the summer?

Information about summer accommodation will be published on skm.muni.cz in June.

12. I have already checked out of the dormitory, but I will need to check-in in May again, is it possible?

Yes, it is. The information will be available at skm.muni.cz in late April or early May.

13. The moving-out will be done by an authorised third person, but I have the keys, how to proceed?

The room key will be given based on authorization. If they are roommates in the room, it is necessary to inform them about this situation. The person who will be moving you out needs to have an exact list of things and place of their storage to avoid confusion. Please, send the key you currently have by post as soon as possible after your check-out, otherwise you will be charged for payment for “a lost key”.

14. If I am moved out by volunteers, where will my things be stored?

Your belongings will be stored in a place separated from others in premises that meet the following conditions: sustainable temperature, moisture insulation, animal and insect free. Your belongings will be transferred to those premises by volunteers and you will be informed by e-mail where your belongings are stored.

15. If an authorized person comes to move me out, to whom should I accurately report their details and how to proceed?

Personal data and written authorization must be reported to Ms. Hradilová by e-mail hradilova@skm.muni.cz. In the e-mail, it is necessary to state first name, surname, university personal identification number (UČO), and in the case of a person outside MU the ID number, thanks to which this person will be verified.  It is also necessary to specify the date when the authorised person will come to pick your belongings.

16. If I am registered as a volunteer at the MU Volunteer Centre or I am working as a student of LF MU, how do I get a discount on accommodation?

Lists of volunteers and LF students are available for the MU Accommodation and Catering Services management. They give the discount, i.e. they should register you. You can always let Ms. Hradilova know or check the information with her by e-mail: hradilova@skm.muni.cz.

18. Do I need to fill out a form for eviction or bring signed paper?

No. You will announce your eviction and the date of your move by e-mail, and then you will only properly hand over the room and keys to the reception.

19. What is the eviction of volunteers?

Each person is packed by two volunteers registered in the list of Masaryk University and one student selected by the Dormitory Councils or the Student Chamber of the AS MU as a supervisor. Your items will be stored in boxes, bags, and items of obvious higher value will be listed and documented at the same time. This documentation will then be emailed to you. The volunteers will then take the items to the designated place and let you know where you will find them when you return.

20. Is it possible for option B, moving by an authorized person, to store my belongings in the premises of SKM or MU?

No. The authorized person must carry your items and store them on their own.
